Job Summary

Under the overall supervision of the Chief of Mission, and with the direct supervision of the Senior Human Resources Assistant, in close coordination with the HR team, the HR Intern will perform clerical HR/Administrative tasks in support of human resources daily operations in Bujumbura Office.
Key Responsibilities
Under the overall supervision of the Chief of Mission, and with the direct supervision of the Senior Human Resources Assistant, in close coordination with the HR team, the HR Intern will perform clerical HR/Administrative tasks in support of human resources daily operations in Bujumbura Office.
- Support HR Unit in updating and upkeeping all HR personnel files as per the organization’s rules/regulations;
- Assist in preparation of requests for payments (RFPs) for non-staff personnel;
- Upkeep the organizational organigram to timely reflect organizational changes;
- Prepare letters of Invitations (LoI), facilitate obtainment of the Burundian visas for eligible internationals;
- Facilitate collection and preparation of the applications for issuance of the UN IDs for the staff and their dependents.
- Prepare certificates of service for the staff on demand;
- Perform scanning and photocopy services as requested;
- Perform such other duties as may be assigned.
The successful candidate will gain experience:
- of working in an international multicultural environment, within the United Nations system;
- in organizational, general administrative and Human Resources-related practices and processes of IOM;
- In liaising with the government authorities on the issues related to issuance and extension of the Burundian visas for eligible international personnel and their family members;
- in the use of the IOM/UN learning platforms via conforming with the requirements for completing IOM mandatory courses and assistance in assurance of the staff members compliance as regards completion of the IOM mandatory courses;
- in practical implementation of the Hire to Retire (H2R) Human Resources workflows through the exposure to the IOM’s new ERP, WAVE Oracle. Optional pre-recorded training modules in different HR areas will be available subject to approval of the supervisor;
- in basics of the organizational design via contribution to upkeeping IOM Burundi’s organigram.
Required Qualifications
- Be enrolled in the final academic year of a first university degree (minimum Bachelor’s level or equivalent) in Human Resources, Business Management, Business Administration, or other related field from an accredited academic institution; or
- Be enrolled in a graduate school in Human Resources, Business Management, Business Administration, or other related fields from an accredited academic institution; or
- Have graduated with a university degree and, if selected, must commence the internship within one year of graduation
- Experience in operating personal computer, on-line computer terminal, printers, scanner, photocopier, and other office equipment are necessary;
- Experience with Microsoft Office 365 applications.
- Fluency in English and French is required (oral and written).

- Depending on experience and location, interns are granted a small monthly stipend to help offset costs. Interns benefiting from an internship allowance or scholarship granted by his/her university or other sponsoring body that includes financial remuneration or credits for coursework will not be eligible for the stipend.
- IOM covers Interns against occupational accidents and illnesses under the Compensation Plan (CP), free of charge, for the duration of the assignment. IOM does not provide evacuation or medical insurance for reasons related to non-occupational accidents and illnesses. Interns are responsible for their own medical insurance for non-occupational accident or illness and will be required to provide written proof of such coverage before commencing work.
